The starting point
For more than 15 years, KDC Trading has supplied agricultural inputs, equipment and machinery to government and institutional customers. Tender submissions, supplier quotations, delivery records and invoice-support documents were spread across independent systems and fragmented paperwork.
Information for a tender or fulfilment could be difficult to keep together, while communication with officials about deliveries, follow-ups and invoice submission relied on repeated calls. KDC needed a single controlled process with clear management approval and accessible transaction records.
A connected Zoho One process
Komani Tax Shop implemented a connected Zoho One process centred on KDC’s tender-to-delivery work.
- Zoho CRM centralises tender, RFQ and order records, with Blueprints controlling stages and management handoffs.
- Zoho Books manages sales orders, invoices, supplier bills and financial records.
- Zoho Mail supports formal communication with officials and customers.
- Zoho WorkDrive keeps tender, supplier, delivery and finance-support documents with the related transaction context.
How the process was implemented
The coordinator can source supplier quotations, prepare the required documentation and assemble each transaction in CRM. Blueprints direct the process and retain the required context, while the Managing Director keeps final approval before a commitment or submission proceeds.
Books supports the financial record, while Mail and WorkDrive keep stakeholder communication and supporting documents organised from quotation through delivery and invoicing.
A controlled tender-to-delivery process
KDC consolidated a six-person administrative workload into a controlled process managed by one coordinator, with management approval retained at the critical decision point.
