Overview

5 Boykies Construction uses Zoho One across customer work, accounting, job administration, communications and marketing. Zoho CRM holds distinct processes for direct enquiries and insurance instructions; Zoho Books records financial transactions; Zoho Projects holds job records; Zoho WorkDrive holds supporting documents; and Zoho Mail, Social and Sites support correspondence and customer contact.

Komani Tax Shop contributed to the CRM process design and guides the system from an accounting and operations perspective.

Company background

Founded in 2022 near Komani (formerly Queenstown), Eastern Cape, 5 Boykies Construction serves residential, commercial, agricultural and industrial customers. Its work includes building and maintenance, plumbing, roofing, steel work and finishes.

Direct work and insurance work have different administrative requirements, including the people involved, evidence required and billing arrangements.

The challenge

Construction enquiries can involve a customer, a worksite, an instructing person and a different invoice payer. The business needed the related quotation, job evidence and eventual financial documents to remain reviewable together.

  • Insurance work can require assessment fees, reports, insurer feedback, requisitions, customer excesses and completion certificates.
  • Purchasing and stock information must sit alongside job activity, supplier bills and supporting documents.
  • Email correspondence, the website and social marketing also need to support the customer journey.
  • Reports must distinguish a sales stage from a completed job or payment.

Assessment and boundaries

Komani Tax Shop reviewed the customer journey and accounting records as connected processes. Separate Direct Work and Insurance Work routes were used because a generic deal sequence would not capture insurance-specific records such as an assessment fee, customer excess or insurer order number.

A job stage, a Projects status and a Books transaction describe different facts, so staff review the underlying instruction, documents and financial record before decisions are made.

Scope note: formal job approval, work in progress, stock and labour allocation, detailed manufacturing costing and reconciled profitability reporting remain a later programme, outside the completed work described here.

Why Zoho One

Zoho One gives the business one product family, while each application has a distinct role in the operating process.

  • Zoho CRM: customer records, enquiries and quotations, with separate Direct Work and Insurance Work processes.
  • Zoho Books: customer and supplier accounting, invoices, bills, credits and payments, including selected project allocations and attachments.
  • Zoho Projects: job records and an observed job register.
  • Zoho WorkDrive: working folders and supporting instructions, orders and authorisations.

Supporting applications

  • Zoho Mail: business email and customer correspondence.
  • Zoho Social: social marketing and channels.
  • Zoho Sites: public service and contact routes.
  • Zoho One: the suite and user-access foundation for the applications above.

The customer already had populated CRM process records, CRM–Books contact links, a Projects job register, stored documents and active supplier accounting on which the work could build.

Implementation

Two CRM process definitions have been configured since February 2024 and continued in use through September 2026. Staff create and update customer work in CRM, related Projects entries and supporting documents in WorkDrive. Supplier transactions and attachments are retained in Books, and customers are linked between CRM and Books.

Direct Work and Insurance Work routes use staff-driven stage transitions, with selected transitions creating notification or task actions. Staff still review the instruction, quotation, documents and accounting record as part of the process.

Zoho Mail, Social and Sites are in use for correspondence, marketing and public customer routes. A Creator manufacturing prototype and later detailed costing controls are not part of the completed implementation presented in this case study.

Results to date

  • On 25 September 2026, the reviewed CRM environment held 492 associated active Direct Work process records and 253 Insurance Work process records. These are process-record counts, not completed-job counts.
  • On 20 September 2026, the reviewed environment showed 372 active Projects and 922 files in operational WorkDrive folders; sample instructions and orders could be traced to folders.
  • Customer and supplier accounting records can be reviewed alongside supporting documents, with CRM–Books customer links and selected supplier-bill attachments.
  • Mail correspondence, Social marketing and the public Sites service/contact routes support the wider customer journey.

Further work on formal approvals, detailed job and stock costing, WIP and manufacturing controls remains a separate programme.
