From invoice books and phone orders to connected business operations

Overview
AtClean grew from a one-person business run with manual records into an operation with staff, a live online store and connected finance, stock, marketing and manufacturing processes. Komani Tax Shop implemented Zoho One to bring these activities together. The applications now support orders, finance, stock, marketing, communication and production.
The business and its challenges
AtClean (Pty) Ltd, led by Director Charlene Kaschula, sells cleaning and hygiene products from Komani in the Eastern Cape.

A growing operation needed reliable ways to take orders, communicate with customers, manage products and stock, plan production, buy inputs and report on its finances.

Why the solution fitted
The design addressed the links between customer orders, invoicing, stock, purchasing and production. Zoho One provided applications for the shared business records and customer channels, while Zoho Creator handled AtClean’s recipe and batch-planning requirements. The phased rollout gave staff a practical way to adopt each process as it was introduced.
How the implementation worked
Zoho Books and Inventory established the financial and stock foundation. Digital invoices replaced the invoice book; sales and purchases became part of proper bookkeeping and reporting. Zoho Mail supplied company email and invoice communication. Staff received a basic introductory training day for each of Mail, Books and Inventory, followed by practical support as needed.
Zoho Commerce gave AtClean an online product catalogue and ordering channel at www.atcleansa.co.za. Zoho Social is used for marketing. Zoho WorkDrive stores business documents. Together, these tools gave the team ways to reach customers, take orders and keep the supporting records in one connected environment.
Manufacturing planning and purchasing
The Zoho Creator manufacturing application uses the previous three months of sales to plan production. It schedules batches automatically with suggested batch sizes, packing sizes and quantities. It checks whether required ingredients and packaging are available and creates draft purchase orders in Zoho Books for staff to approve and email to suppliers from Books. Recipes, jobs and batch costs are recorded in the manufacturing process.
Rollout and results
The Zoho finance rollout began in July 2025; the earliest invoice found in Books is dated 16 July 2025. The earliest batch still present in the manufacturing application’s Completed Batches report was completed on 7 January 2026, confirming operational use by that date. The live online store and Zoho Social expanded the sales and marketing side of the implementation.
AtClean reports time saved on administration, better control over production, more accurate costing and reporting, and stronger control across the business. The manufacturing application contained 203 completed batch records when reviewed in September 2026. The connected setup gives staff a clearer view of orders, stock, purchasing, production and finance.
