How to choose the right Zoho apps for your SME

Start with the work your team needs to do better. This guide helps you shortlist applications, compare a focused setup with Zoho One, and avoid buying more complexity than your business needs.

1. Choose one business outcome

Write down one problem in plain language: enquiries are forgotten, stock figures cannot be trusted, invoices are captured twice, or management cannot see which jobs need attention. Ask the people doing the work where the delay happens.

Define what improvement would look like. For example: every enquiry has an owner and next action; staff can trace an order to its invoice; or the monthly accounts are ready by an agreed date. These become acceptance checks for the implementation.

2. Match the problem to an application

  • Enquiries and sales follow-up: consider Bigin for a straightforward pipeline or CRM for more involved sales processes.
  • Invoices, expenses and financial records: assess Books as the accounting foundation.
  • Stock, purchasing and fulfilment: assess Inventory where your operational needs extend beyond the stock features in your chosen accounting setup.
  • Online sales: assess Commerce for the storefront and its connection to stock and finance.
  • Tasks and project delivery: consider Projects. Define job-costing and accounting requirements separately.
  • Support requests: consider Desk where enquiries need ticket ownership and follow-up.
  • Specialised processes: consider Creator only after checking whether standard applications and configuration meet the need.

These are starting points for assessment, not a requirement to buy every application. Confirm edition, regional availability and the specific features you need before subscribing.

3. Decide how the records will connect

Choose where each record is maintained and who may change it. Customer details, item codes and invoices should not have competing owners. Write down which information must pass between applications and which staff member handles a failed transfer.

Use native integrations where they meet the requirement. Ask for a demonstration using one realistic transaction, including a correction or cancellation. An available integration does not prove that your complete process is covered.

4. Compare a focused setup with Zoho One

A small service business may begin with accounting and a simple sales pipeline. A stockholding business may need purchasing, fulfilment and accounting first. A contractor may prioritise customer instructions, job records, documents and billing.

Compare individual subscriptions with Zoho One against the applications your team will actually use. Include current licensing terms, user eligibility, migration, configuration, training and ongoing support in the comparison. A suite provides access to software; making it useful still takes implementation and staff ownership.

5. Use a short decision checklist

  • Can the shortlisted setup handle our most common transaction from start to finish?
  • What happens when the order changes, stock runs short or a customer cancels?
  • Which features are included in the proposed edition?
  • Who maintains customer, item and financial records?
  • What must be migrated, and who checks it?
  • What is included in the implementation quote and ongoing support?
  • What can wait until the first process is working reliably?

Keep the first phase small enough to train, test and manage. Add the next application when there is a clear operational reason.
